We also use Kodak image verifier software to ensure authentication and safeguard their integrity by putting a special tag on every document image, indicating that they have not been altered—at no extra charge. Document scanning procedures will be developed and coordinated by Image Express in conjunction with your team. We will provide a primary contact for the document scanning operations responsibility. We have already developed a structured training program to aid in the efficient training of all personnel and a plan will be developed and followed in order to provide the most efficient transfer and scanning of documents possible. Record Storage and Transportation Administration, document scanning, quality control / inspection, and image export will take place at Image Express’ Digital Document Conversion Center at 10921 Valley View Road, Eden Prairie, MN. Our clients are responsible for packing the documents and getting them ready for shipment, though we will develop packing and shipping instructions to insure the documents are consistently and accurately packed, shipped, and tracked. We will also be responsible for, and make the necessary arrangements, for pick-up and delivery of paper documents. Documents sent to us for conversion and images and indexing will either be returned to you via CD/DVD, stored, destroyed, and/or uploaded to your document management system. All outside doors to our facility are locked at all times and monitored by security cameras. Visitors must ring a bell to be admitted to the reception area and must log-in upon entry. Cell phones are not permitted in the secure document processing areas and are removed from visitors. Our Document Conversion Center is protected by a security system and fire suppression system that are both monitored around the clock. We assume responsibility for protecting the confidentiality of all your records. Each employee undergoes a criminal and civil background check prior to employment. Each is licensed and bonded and must sign a confidentiality agreement. Documents waiting for processing are stored in a locked, secure storage area and are removed only upon entering the document scanning cycle. All documents will be prepared for scanning by us. This includes removal of folders, staples, paper clips, rubber bands, excess tape, etc. Torn or ripped documents will be taped. Document Scanning & Quality Control All documents will be scanned and digitized at a resolution of 300 dpi in a bi-tonal format. For consistency purposes, Batch Image Capture and Conversion Software will be utilized in conjunction with high-speed production image scanners. The documents will be cropped at the scanning stage and output to a Group IV TIFF format. The technician will view and visually check each image as it is being scanned for image integrity and image quality. Any images deemed unsatisfactory will be re-scanned at this point. The images will also be electronically enhanced to maximize image quality and to reduce the storage size of the image. Utilizing the latest wide format scanning technology, will scan all of your architectural drawings, blueprints, construction plans, engineering drawings, aerial photos, maps, GIS documents, CAD drawings, pipeline drawings, posters, newspapers, and other specialty documents. The scanned images will be cropped to reduce file size, de-skewed, filtered, and electronically enhanced to improve image quality. Any images which could not be scanned or the image quality was too poor to use will need to be re-scanned. Your documents will then be scanned individually to produce a higher quality image. We index each document with a 16-character field based on your naming convention. Image / Index Export and Delivery Once the images have completed the scanning and image enhancement phases, finished images and indices will be uploaded to your document management system, written to CD/DVD and returned to you. After scanning, all of your images will be kept secure through the use of the ProStor system, using a combination of InfiniVault technology and RDX cartridges. All images written to RDX cartridges will be encrypted and will be rendered unusable if the cartridges are stolen. The cartridges use a modified format, which prevents the cartridge from being mounted in a non-InfiniVault system. Each RDX Cartridge has a unique electronic serial number, which is logged inside of, and is assigned to, the particular InfiniVault used for you. |
